How to Navigate Department Documents in SharePoint
In this class, we will learn how you can navigate to your department-wise documents in the SharePoint portal. When an organization has different departments and sub-departments, SharePoint helps users access the documents related to their work from one central location.
The important thing is that you do not have to search for every document manually. Once you open your department or sub-department, you can directly access the documents available to you according to your permissions.
If you need help designing a structured SharePoint portal or managing department-wise document access, Out2sol, a leading SharePoint Services Provider, can help you set up SharePoint according to your business requirements.
How Department Documents Work in SharePoint
In a SharePoint Team Site, departments can have their own pages and sub-departments. For example, you may have Marketing, Services, Supply Chain & Logistics, or IT & Digital.
The documents shown on these pages depend on the structure of your portal and the access assigned to your user account.
Steps to Navigate Department Documents
Watch this quick video to see the complete process:
Step 1: Log in to the SharePoint Portal
First, open your organization's SharePoint portal and log in with your credentials.

After logging in, go to the main Team Site.
Step 2: Open the Department Section
On the Team Site, you will see the departments and sub-departments available to you.
For example, the portal may contain:
- Marketing
- Services
- Supply Chain & Logistics
- IT & Digital
Select the department you want to visit.
Step 3: Select the Required Sub-Department
Some departments may have multiple sub-departments.
For example, if you open Marketing, you may see different sub-department pages. Select the one you need.
Step 4: Open the Department Page
After selecting the department or sub-department, SharePoint will take you to its dedicated page.
From here, you can see the information and documents available for that section.
Step 5: Open the Required Document
Now, select the document you want to access.
For example, you can open the Supply Chain & Logistics page and view its available document. In the same way, you can open IT & Digital and check the documents available there.
If a department does not currently have any documents, the page may simply appear empty.
Why Use Department-Wise Documents?
Organizing documents by department makes it easier for employees to work with the information they need.
You can:
- Find your department's documents quickly
- Access files according to your permissions
- Keep documents separated by team
- Reduce unnecessary searching
- Navigate between departments from one Team Site
For example, instead of searching through all company documents for an IT file, you can directly open the IT & Digital section and look for the required document there.
Final Thoughts
A good SharePoint structure should make it clear where your documents are stored and how you can reach them. Department-wise navigation provides a simple way to organize this information while keeping access aligned with each user's role.
Once you understand the department and sub-department structure, finding your team's documents becomes a simple part of your daily workflow.
